Communications Policies & Procedures

 

Our goal is to ensure clear, consistent, and effective communication across all platforms and to prioritize messages that align with Calvary Church’s mission and goals. Calvary Church has a wide variety of events and ministries that are taken into account with every single communication.

These have been drafted to provide clarity around how communications at Calvary work and the guidelines we follow to ensure that we communicate effectively, fairly, and efficiently across all our channels. Volunteers are welcome to help communicate and create content, but it must:

  • Align with the overall mission, vision, and values of Calvary Church.

  • Fall within one of our regular communication options listed below. 

  • Follow all of Calvary Church branding and style guidelines (this includes all signage, posters, brochures, flyers, postcards, digital content and more). Our basic fonts, colors, and logos may be viewed ONLINE. For a copy of the complete Calvary Church Style Guidelines, contact NITA HODNEY

    • Be submitted for approval, with adequate review time, BEFORE it can be shared.

    FALL 2026 EVENT PLANNING FORM

     

     

    To allow adequate time for ministry coordination and communication, event requests must be received before the ministry guide deadline on event forms. 

    These policies and guidelines will be reviewed and updated as needed to ensure they continue to meet the needs of Calvary Church.

    If you hear feedback from someone they did not hear about your event or ministry – please ask them where they are looking for information! Share the response with NITA HODNEY so we can continue to improve.

    Communication Options

    Our primary churchwide communication efforts will focus on events and opportunities that directly support our discipleship pathway. Additional ministry events may be communicated through the seasonal ministry guide, website, and other channels as appropriate.

    Bathroom Ads

    • Bathroom ads are changed every 3-4 weeks.
    • Priority is given to events/ministries that are key steps on our discipleship pathway and are most impactful for the whole congregation.
    • Text is limited so include a call to action for more information (typically a web link).

    Calvary Church Website

    • The Calvary Church website is our go-to place to list all church ministries, events, staff contacts, prayer requests, and more.
    • Each ministry area is responsible for sending updated and relevant content for their website pages/sections.
    • Updates can be sent at any time to NITA HODNEY and are typically updated within two business days.
    • Longer descriptions and all details can be posted online. 

    Church Branding

    • The Calvary Church logo must be displayed on all items intended for external distribution and on most internal items.
    • The logo cannot be altered in any way.
    • The Calvary font is “Work Sans” and should be predominantly used in print and electronic communications.

    Event Registrations

    For ministry events, registration/event forms will generally be created by staff as part of the event planning and communication process. If you would like an exception to this process, please contact staff in advance to discuss how registration information will be collected, managed, and shared.

    Form creation requires a two week lead time. 

    Official Church Business Email/Letter/Text

    • Communications sent through our database to all members and attenders is reserved for official church business.
    • We are now collecting registration information for event participants through our registration system. As attendance lists are built over time, ministries will have the opportunity to send invitation emails to previous event attendees through our system.
    • We do not (at this time) have individual mailing lists that are separated by campus, gender, or age.

    Postcards/Brochures

    • There is a location at each campus for Calvary Church ministry printed materials to be shared. At the Roseville Campus it is between the bathrooms upstairs at White Bear it is the Connect Center.
    • Volunteers and ministry leaders may prepare materials and an editable draft sent to NITA HODNEY for review before printing or finalizing. Please allow up to five business days for this review. Please review our BRAND GUIDELINES in advance.
    • Only approved materials that align with the overall communication plan of Calvary Church can be shared or displayed. 
    • Materials to be created by Calvary Church staff will need a minimum of two weeks lead time and should be requested on the Event Request Form. 

    Rolling Slides

    • Priority is given to events/ministries that are key steps on our discipleship pathway and are most impactful for the whole congregation.
    • Slides will be clear, visually engaging, and informative.
    • Text is extremely limited for slide readability so include a call to action for more information (typically a web link).

    Roseville Campus Community Board

    • Flyers and information from outside groups and organizations may be posted here.
    • Bring your flyer to the Roseville Church office and turn it into the office staff for approval and posting.

    Social Media Posts

    • Priority is given to events/ministries that are key steps on our discipleship pathway and are most impactful for the whole congregation.
    • Photos and highlights from past events can be shared post-event to engage and inform the congregation. Send images and a short description of your event to NITA HODNEY at any time.
    • How to take great photos: fill the frame, get high or low, step closer (don’t zoom), use landscape (not portrait), check the background for distractions or clutter, focus on 1-4 subjects (not a large group), and send photos via email (text downloads the quality).

    Spotlight Tables

    • The spotlight table can be requested in the lobby to highlight any ministry, special event, mission trip, activity, or sign up.
    • The ministry/volunteer is responsible for providing the volunteers and/or staff to host the table at each campus before, after, and between services. 
    • Spotlight table requests are prioritized based on the overall church vision, mission, and discipleship pathway alignment, not on who requests it first.

    Video Policy

    We live in a video-saturated culture and communicating via video is an absolute necessity and essential tool. That being said, it must be used effectively and in an engaging manner. At Calvary, we want to create a process to ensure that when leveraging video (like anything else we do) it is carefully planned and used strategically.

    • Videos may be requested for any ministry that involves 80% or more of our congregation.
    • Fill out the Calvary Church Video Production Form and plan for a minimum of eight weeks for production time to go through the five phases of production: development, pre-production, shoot, editing, and distribution. Completed forms are submitted to SUZIE KATUSKY
    • If you have a video created by an outside group, it must be evaluated and approved by Worship Arts before it can be shown in a service or used online. In service videos need to apply to 80% or more of the congregation. This approval process takes a minimum of two weeks. 

    Weekly All-Church Email

    • Priority is given to events/ministries that are key steps on our discipleship pathway and are most impactful for the whole congregation.
    • Each announcement should be clear, concise, and include necessary details and action steps.
    • A maximum of six announcements are scheduled per weekly email.

    Worship Folder Announcements

    • Priority is given to events/ministries that are key steps on our discipleship pathway and are most impactful for the whole congregation.
    • Announcements should be concise, relevant to the church body, and for Calvary Church ministries or events.

    Worship Folder Ministry Spotlight

    • Each week, one ministry write-up will be included in the worship folder.
    • Write-ups will focus on the ministry as a whole, highlighting its mission, ongoing work, and volunteer opportunities.
    • Event-specific information should be avoided in favor of broader ministry updates.

    Worship Service Verbal Announcements

    • Priority is given to events/ministries that are key steps on our discipleship pathway and are most impactful for the whole congregation.
    • Announcements are scheduled in advance and coordinated on the communications calendar and between multiple departments.
    • Due to worship service timing, goals, and flow, we cannot accommodate late requests.
